Mail-Services

This service is available to students, employees and guests of the university.

E-mailing is one of the most important communication channel in everyday life, at university and at work. Simple notifications can be used, for example, to exchange information, make arrangements or send important files.

  • E-Mail

    When you enrol or are employed at/by the University of Jena, a personal e-mail inbox with a university e-mail address will be set up for you. All incoming e-mails are automatically filtered for spam and viruses. 

    The university operates two e-mail systems:

    • Webmail: initial for students, guests or e-mails for functional purposes
    • Exchange:initial for employees or after application

    Webmail oder Exchange?
    Which e-mail inbox is active on your account? In Postmaster, you can see which e-mail system is active on your account:

    Webmail
    Access to the e-mail inbox can be web-based and without installing an e-mail program. You only need your university account (login and password) to access your e-mails.

    Exchange
    The use of Microsoft Outlook is recommended for an e-mail mailbox based on Exchange. On centrally managed workstations, Microsoft Outlook is usually installed automatically.

    The Outlook Web App (OWA) provides you with a web-based e-mail inbox that allows you to conveniently process your e-mails from computer connected to the internet.

    Use of common e-mail software
    In addition, you can use common e-mail programs (Thunderbird, Apple Mail, etc.) that support the IMAP standard with SSL encryption for access. Unencrypted or POP-based access is not supported.

  • Mailing list

    Would you like to send e-mails to a group of recipients or circular e-mails to specific groups of people within the university? The University Computer Center offers you two different options: 

    Sending e-mails via mailing lists
    You can independently combine and manage several e-mail addresses in so-called mailing lists. A mailing list is a special e-mail address. If you send an e-mail to such an address, it is automatically sent to all the people on this list;

    Mailing list (Cumulus) for circular mails to groups of people within the University of Jena
    You would like to send information to specific groups of people (e.g. students, employees or employees of a specific faculty) or even to all members of the university. The University Computer Center can automatically generate a distribution list for sending circular mails using various properties of the addressees.

    Please note that authorization is required for mailing lists of this type!

  • Recognizing fraudulent emails - protection against phishing

    Attention Phishing!

    Time and again, criminals send fraudulent emails, for example to install malware or to obtain your access data. This is often allegedly done in the name of the computer center or other university institutions.

    If you clearly recognize a fraudulent e-mail or are unsure about a possible scam, you shouldn't click on any links, open any attachments or reply to the e-mail. In case of suspicion, forward such e-mails to phishing@uni-jena.de.

  • Further mail services and options

    Sending e-mails with larger files
    If you want to send very large files easily within interdisciplinary working groups, you can use the temporary file upload.

    Signing e-mails
    With a personal certificate, you can add a signature to emails. The signature replaces your manual signature in the e-mail and guarantees the recipient that the e-mail was written by you and was not changed during transmission.

    Emails for function bound purposes
    Would you like to share an e-mail address in a team for business activities? The function bound account can be used by several people for certain activities (e.g. shared e-mail use in the secretariat, a project or a committee).
