Milestone process workshops STU and EXA reached

Sub-project 2 (STU)
Successful completion of STU process workshops, GEB process workshops will start on 19 April 2023.
Introducing sub-project 2 in the areas of student and fee management, our work on the first sub-project phase started on 6 April 2023 with a series of process workshops on ‘Student Management’ (STU). Until 20 March 2023, we reviewed and discussed 14 functional processes involved in topic packages related to enrolment, guest auditors, re-registration, and de-registration using hybrid formats with relevant key users.
Our STU process workshops focused on specific issues such as auditor groups as well as archiving and deleting student data. During these workshops, we examined and worked on these issues in more detail bearing global project factors in mind. The STU process workshops already touched upon and overlapped with the fees topic, which will be addressed in the ‘Fee Management’ (GEB) process workshop starting on 19 April 2023. This process workshop will particularly focus on direct debit mandates and continuing education fees.
On 20 April 2023, we will host a 60 minutes long kick-off event with HIS eG. This event will mark the official project start as well as the start of our conceptual design phase with HIS eG.
Sub-project 3 (EXA)
Completion of STG process workshops and start of the process workshops for the 'Course and Room Management' (VM) by 25 May 2023
On 24 January 2023, we successfully completed our process workshops on the functional processes involved in the ‘Degree Programme Management’ (STG) segment. These workshops formed part of sub-project 3 (EXA). Working alongside key users (faculties, Office of the Vice-President for Learning and Teaching, IT, and academic controlling), we reviewed, discussed, and adapted HIS eG’s reference processes involved in the topic packages ‘Degree Programme Development’, ‘Degree Programme Management’ and ‘Degree Programme Mapping’.
At the moment, we are reviewing a total of 28 functional processes involved in the ‘Course and Room Management’ (VM) segment. This segment focuses on preparing, planning, delivering as well as managing courses and rooms using the HISinOne campus management system. One focus was on creating a preliminary FSU target process to document teaching activities. This area was discussed and developed in a separate ‘Managing Teaching Loads’ process workshop that involved representatives of the University’s faculties, IT departments, and academic controlling units.
