Review kick-off events

In April 2022, we launched sub-project 3 (EXA) as part of the implementation process for the university's new campus management system HISinOne. Covering the functional areas of degree programme, examination, course and room management, this sub-project is the most extensive one.

After recruiting representatives (key users) from all involved faculties and departments over the summer, we held kick-off events at the beginning of November in which all participants received detailed information on the next steps. In addition to introducing the sub-project in terms of its content and estimated timeline, we focused on familiarizing the users with HIS eG's reference processes, focusing on the various features of HISinOne. Our kick-off events aimed to provide clarity and transparency to ensure that we meet our project goal of adapting existing HIS reference processes to the university's needs by involving key users in the development of a university process model. Thanks to the project management team’s excellent preparation of our kick-off sessions, high levels of participation and the positive feedback we received, the launch of sub-project 3 (EXA) was a major success.

On 15 November 2022, HIS eG presented the product landscape of EXA, inviting interested stakeholders to gain first insights into the new degree programme, examination, course and room management features of HISinOne which will replace "Friedolin".

Upcoming digital process workshops

From 29 November 2022, we will host weekly digital process workshops to develop the university's preliminary target processes. These will be grouped into topic packages prepared by the project management team and developed with key users involved in each process.

The focus will be on mapping business processes to HISinOne system processes as well as optimizing any existing university processes. This way, a total of 70 reference processes will be reviewed, analysed and—if necessary—adapted. Using live modelling in our workshops, all university-specific changes can be directly stored in the respective process, allowing all participants to track them live. Following quality assurance, the preliminary university process model will form the starting point for specification concept workshops with HIS eg. In these workshops, we will develop a set of target processes and specifications to be customized. The result will be a customized version of the complex HISinOne software, fully tailored to the requirements of the University of Jena.
