Our documents can be used in the reading room, shared by the University Archives and the Department of Historical Collections of the University Library. You will find the reading room on first basement floor at the Library Main Building, 2 Bibliotheksplatz. The entrance to the reading room is on the right side next to the Information Counter on ground floor (Brit.)/first floor (Amer.). Jackets, bags, cases and bulky items have to be put in the lockers at the wardrobe area (right side next to main entrance of the library building). Thank you for your understanding.

Terms of use
 
The University Archives provides its documents for official, academic, journalistic and educational purposes as well as reasonable private interests.

Access to the documents is possible during the opening hours and after previous notification. Every year you have to fill in an Application for Use (Benutzungsantrag) at your first visit or if your research topic is changing. Free use of the documents is granted after accepting the "Ordnung für das Universitätsarchiv der Friedrich-Schiller-Universität Jena" pdf, 266 kb · devom 01.04.2020 (Arrangements for the University Archives of Friedrich Schiller University Jena from 1st April 2020). We would like to ask you for attention of the revision of the arrangementspdf, 195 kb · de from 29th September 2020. The "Ordnung für das Universitätsarchiv der Friedrich-Schiller-Universität Jena" is based on "Thüringer Gesetz über die Sicherung und Nutzung von Archivgut (Thüringer Archivgesetz - ThürArchivG)"External link vom 29.06.2018 (Thuringian Archives Act from 29th June 2018).


Facilities for using laptops and Internet research are available at the reading room. Microfilms can be used at a reader printer. The archives also holds a reference library with 8938 volumes and offprints. The reference library consists of reference books, lexicons, books about local and regional history as well as history of the university and significant people in history, textbooks regarding to archival science and specimen copies of publications basing on archival resources. Books from our reference library as well as newspapers, journals and periodicals held at our archives can be used at the reading room if desired.

Filmed records are only usable as microfilms.

Records that are subject to retention periods are only usable after permission by authorised people or institutions. According to Thüringer Archivgesetz (Act of Archival Legislation of Thuringia) retention periods are:

* personal data: 100 years after birth respectively 10 years after death
* administration records: 30 years based on the latest document of the volume

All documents will be provided after submission of filled order forms. You have to fill in an order form for every desired volume. All documents ordered until 2 p.m. will be provided on the following day of service if not held in our branch offices (These documents will be provided within three days.). There is a maximum of ten volumes provided at the same time. 

Making of photocopies and scanned copies of archival documents

Photocopies and scanned copies of archival documents can be provided after submission of Kopierauftragpdf, 320 kb · de (Order of Copies). The archives reserves the right of decision about making copies or not based on the state of preservation of the documents. Copies of personnel records can only hand out to authorised people on presentation of a valid identity card.
Immediate appropriation of copies is not possible. If documents are filmed users will be able to make reader printer copies themselves. The fees conform with the valid Gebührenverzeichnispdf, 75 kb · de (Schedule of Fees).
